    Who uses Aesthetic Record

    Aesthetic Record is an EMR built for injectors, med spas, and cosmetic clinics. If your online booking URL ends in myaestheticrecord.com, you run on it.

    A lot of Aesthetic Record charting happens on the iPad app right in the treatment room. Photos, consents, treatment records, and notes all live there. That detail matters for anything running in a browser, including us, and we talk about it below.

    Does Aesthetic Record have its own AI notes?

    Yes. ChartSmart AI is Aesthetic Record's own scribe. Per their page, it turns a recording or dictation into "a compliant procedure note" inside the EMR. Their positioning is "no third-party AI system, no copy-paste chaos."

    That pitch makes sense. Built in means no extension, no extra login, and no second vendor. Here is how Aesthetic Record prices it, straight from their page:

    Pricing is per account, not per provider. A practice with three injectors pays one ChartSmart fee.

    What is the actual difference between ChartSmart AI and Symbal?

    ChartSmart produces a procedure note. Symbal produces a SOAP note and then fills the chart's fields. The question to ask any scribe, ours included, is simple: after the note exists, do you still open the chart and fill fields by hand?

    Here is a quick cost check, computed from the prices above. A solo injector doing 120 charts a month pays $75 for ChartSmart unlimited, or $65 on the 100-chart tier plus 20 overage charts at $0.75 each. Symbal is $65 for that same provider. A three-provider practice pays $75 total for ChartSmart unlimited and $195 for Symbal. If several providers only need a procedure note, ChartSmart's per-account pricing is cheaper, and we're not going to pretend otherwise.

    What Symbal fills in Aesthetic Record

    Symbal transcribes the consultation and writes a structured SOAP note after you hit record on your phone, tablet, or the Chrome extension. Then the extension reads the Aesthetic Record page you're on, finds the fields, and fills them:

    • Treatment forms for the procedure performed.

    • Note templates your practice uses.

    • Medical history updates.

    • Vitals.

    • Session notes.

    The extension can move between tabs and open sub-modals in Aesthetic Record. It's one of our three hard-mapped EMRs, along with Boulevard and PatientNow. No API and no vendor partnership are needed, because it reads the page the way you do.

    How to set up Symbal with Aesthetic Record

    Setting up Symbal takes a few steps in Chrome:

    • Add the Symbal Chrome extension.

    • Log in to Symbal and to Aesthetic Record in the same browser.

    • Open the patient's chart.

    • Click Autofill in the extension.

    • Review every field.

    • Approve, and the note is in the chart.

    The extension also shows your day's schedule from your synced calendar, with each session ready to autofill.

    Can you use Symbal on the Aesthetic Record iPad app?

    If you chart on the Aesthetic Record iPad app, the Chrome extension cannot fill those fields. Extensions run in a desktop browser, and the iPad app is not a browser. We'd rather be direct about that.

    On iPad, the Symbal app gives you the finished SOAP note to copy into the chart. That's copy-paste, which is exactly what Aesthetic Record's ChartSmart page pitches against. It still gives you a written note from the recording, and Beyond the Chart and Ask AI work the same on any device. But if your whole team charts on iPads and never opens Aesthetic Record in a browser, ChartSmart may be the better fit for the note itself.

    Honest limits of Symbal

    You should know a few practical limits before using Symbal:

    • Autofill needs the Aesthetic Record web app in Chrome. iPad app charting means copy-paste from the Symbal app.

    • Every note is a draft until you approve it. Read it before you approve it.

    • If a field cannot be filled, the extension shows a copy-paste box with the full note so nothing is lost.

    • We do not publish time-savings or accuracy numbers. We do not have data we can stand behind yet.

    • Recording a consultation needs consent. California is an all-party consent state (Penal Code 632), and states like Florida, Washington, Illinois, and Pennsylvania are commonly listed too. Confirm for your state and verify with a healthcare attorney.

    Is Symbal HIPAA compliant?

    Yes. We sign a Business Associate Agreement at signup. Data is encrypted in transit (TLS 1.2 and above) and at rest (AES-256), hosted on AWS in the US (Oregon region). Transcription runs on Deepgram and note generation on OpenAI, both under signed BAAs. Audio is kept 30 days by default, configurable by the practice, then hard-deleted. There's a per-patient do-not-record flag, deletion on request within 72 hours, an audit log on request, and breach notification within 5 business days. Symbal does not train AI models on patient data.

    Can I use ChartSmart and Symbal at the same time?

    Nothing stops you. ChartSmart lives inside Aesthetic Record, and Symbal writes into the same chart you already use. Most practices will pick one for the note, but Beyond the Chart and Ask AI work regardless.

    Does Symbal need an Aesthetic Record integration or API key?

    No. The extension reads the page you're logged into, the same way you do. There's nothing to request from Aesthetic Record.

    What does "compliant procedure note" mean?

    That's Aesthetic Record's phrase for ChartSmart's output, and you should ask them what it includes. Symbal's output is a SOAP note, and you should read one in your trial and judge it the same way.

    What if I chart on both iPad and desktop?
